TERMS AND CONDITIONS OF BOOKING

Effective Date: July 2026

These Terms and Conditions govern all bookings and services provided by Global Route Link (Pty) Ltd (“Global Route Link”, “the Company”, “we”, “our”, or “us”). By accepting a quotation, paying a deposit, making any payment, or requesting us to proceed with a booking or service, the client confirms that they have read, understood, and agreed to these Terms and Conditions.

1. Booking Agreement

A booking becomes legally binding once the client:

  • Accepts a quotation or proposal;

  • Pays the required deposit or full payment;

  • Requests Global Route Link to proceed with any reservation, sourcing request, travel arrangement, visa assistance, or related service.

The person making the booking confirms that they have the authority to act on behalf of all travellers or parties included in the booking.

2. Booking Deposit

A non-refundable booking deposit of R1,500.00 (One Thousand Five Hundred Rand) is required before Global Route Link commences any work relating to travel planning, supplier engagement, sourcing, quotations, visa assistance, itinerary preparation, or reservation services.

This deposit covers administration, consultation, supplier communication, planning, and professional service costs.

The R1,500 booking deposit is strictly non-refundable under any circumstances, including but not limited to:

  • Client cancellation.

  • Visa refusal.

  • Change of travel plans.

  • Failure to travel.

  • Change of destination.

  • Supplier cancellation.

  • Flight cancellation.

  • Hotel cancellation.

  • Failure to obtain required travel documents.

  • Any reason beyond Global Route Link’s control.

3. Accuracy of Information

The client is solely responsible for ensuring all information supplied is complete and accurate, including passport details, names, dates of birth, nationality, contact information, and visa documentation. Any costs resulting from incorrect information shall be for the client’s account.

4. Passports and Travel Documents

Clients are responsible for ensuring that passports are valid for at least six (6) months after travel, contain sufficient blank pages, are undamaged, and comply with destination country requirements. Global Route Link accepts no responsibility for invalid travel documents.

5. Visa Assistance

Global Route Link provides visa assistance only and does not issue visas.

Visa approval remains solely at the discretion of the relevant Embassy, Consulate, Visa Centre, or Immigration Authority.

We cannot guarantee:

  • Visa approval.

  • Processing times.

  • Visa validity.

  • Multiple-entry visas.

6. Visa Refusals

Should a visa application be refused, the client remains liable for all costs already incurred, including:

  • Embassy fees.

  • Visa processing fees.

  • Hotel cancellation penalties.

  • Airline cancellation penalties.

  • Supplier charges.

  • Administration fees.

  • The non-refundable R1,500 booking deposit.

7. Travel & Accommodation

Flights, hotels, transfers, transport providers, and accommodation suppliers operate under their own booking conditions.

Global Route Link cannot override supplier policies relating to:

  • Refunds.

  • Changes.

  • Cancellations.

  • Schedule changes.

  • Accommodation substitutions.

8. Trade Facilitation & Sourcing

Where Global Route Link assists with supplier sourcing, factory visits, machinery procurement, or trade facilitation, we act solely as an intermediary between clients and independent suppliers.

We do not manufacture, own, or warrant any products supplied by third parties and cannot guarantee supplier performance beyond the information reasonably available at the time.

9. Airline & Supplier Changes

Airlines, hotels, transport providers, manufacturers, and suppliers may amend schedules, prices, availability, or services without notice.

Global Route Link shall not be liable for losses resulting from such operational changes.

10. Force Majeure

Global Route Link shall not be liable for delays, cancellations, interruptions, or losses caused by events beyond our reasonable control, including war, civil unrest, pandemics, natural disasters, government restrictions, strikes, border closures, airline failures, severe weather, or other force majeure events.

11. Travel Insurance

Comprehensive travel insurance is strongly recommended for all travellers.

Clients who choose not to obtain travel insurance do so entirely at their own risk.

12. Cancellations

All cancellations must be submitted in writing.

Cancellation charges may include:

  • Airline penalties.

  • Hotel penalties.

  • Visa fees.

  • Embassy fees.

  • Supplier penalties.

  • Foreign exchange losses.

  • Administration fees.

  • The non-refundable R1,500 booking deposit.

The client remains liable for all unrecoverable costs.

13. Payment Terms

Bookings may be cancelled if payment is not received by the agreed due date.

Cancellation does not release the client from any charges already incurred.

14. Quotations

All quotations remain subject to:

  • Supplier availability.

  • Exchange rate fluctuations.

  • Airline fare changes.

  • Hotel availability.

  • Manufacturer confirmation.

Prices are only guaranteed once payment has been received and suppliers have confirmed the booking.

15. Limitation of Liability

To the maximum extent permitted by South African law, Global Route Link shall not be liable for indirect or consequential losses including loss of profits, missed meetings, delayed shipments, missed exhibitions, cancelled contracts, or business interruption.

16. Client Responsibilities

Clients are responsible for:

  • Arriving on time.

  • Carrying valid travel documents.

  • Meeting visa requirements.

  • Following airline baggage rules.

  • Complying with customs and immigration laws.

  • Verifying all booking confirmations before departure.

17. Data Protection

The client authorises Global Route Link to collect, process, and share personal information with airlines, hotels, embassies, visa centres, transport providers, manufacturers, suppliers, and logistics partners for the purpose of providing requested services, in accordance with applicable data protection laws.

18. Governing Law

These Terms and Conditions shall be governed by the laws of the Republic of South Africa.

Any dispute arising from these Terms shall be subject to the exclusive jurisdiction of the South African courts.

Client Acceptance

By accepting a quotation, paying the required deposit, making any payment, or instructing Global Route Link to proceed with any booking or service, the client confirms that they have read, understood, and accepted these Terms and Conditions in full, including the strictly non-refundable R1,500 booking deposit.
